Online payment system terms and conditions

Our online secure payment system has been developed to facilitate the secure online processing of credit and debit card information for clients wishing to pay premium or update their credit/debit card information. The payments are processed through Worldpay using secure authentication technology. Further details about Worldpay can be found on www.worldpay.com. These terms should be read in conjunction with the website terms, Data Protection and Privacy Statement, the Important Information section of the site and your policy terms and conditions.

Definitions

‘Aetna International’ means any company or branch which is part of the Aetna International Inc. group of entities, further details of which are set out below under the heading ‘About Aetna’.

‘Site’ means aetnainternational.com/payonline, a website owned and operated by Aetna Insurance Company Limited.

‘Terms’ means these terms and conditions, including without limitation our privacy policy, our cookie policy, the website terms and conditions and any other applicable terms and conditions. Please click on this link to access these.

‘we’, ‘us’ and ‘our’ means Aetna International Inc. and its subsidiaries.

‘you’, ‘your’ and ‘yours‘ means you, the person(s) accessing the secure site.

About Aetna

Aetna International Inc. is a wholly owned subsidiary of Aetna Inc. and is the parent of a group of entities in various locations worldwide.

Users

The online secure payment system is intended for existing clients of Aetna Insurance Company Limited and Aetna Global Benefits (UK) Limited (Aetna)who wish to renew their policies, update their details and for those who have obtained a quote from us and wish to proceed to purchase an insurance plan. Users can:

  • Make a payment and authorise on-going payments
  • Make a one-off payment
  • Update their details

How we will process your request

If you wish to make a payment and authorise on-going payments, we will deduct the premium due on your plan and any future instalments in accordance with your plan payment frequency. If you have chosen to pay your premium in full, on an annual basis, the next payment will be taken from your card upon the next renewal of your plan in accordance with the terms of your plan. Please refer to your plan guide, other policy documentation and the ‘Important Information’ section for more information.

If you wish to make a one-off payment only, we will only take one payment using the details you have provided. We will not store your credit/debit card details. You will have to provide your payment details each time you wish to make future payments on-line.

You will be required to enter your CVV (card security code) if you are making a payment on the site. These details will be transmitted securely to Worldpay and will not be seen by any of our staff.

If you wish to only update your card details, we will not request your CVV number. However, we will hold your card details for the purpose of processing and verifying future payments. We may contact you nearer the time of future payments to obtain further details from you. If you have agreed a payment plan with us your card will be used to process future payments and other charges at renewal and as and when your premium falls due.

By continuing to use the site, you agree that your details will be processed in this way.

Communications

We will communicate with you in writing and if you have provided us with your email address, by email. We will record our communications with you, including transactions we have carried out for you, and information and documentation that we receive from you. We will retain information on our files for a period of not less than six years. Our records, unless shown to be wrong, will be evidence of your dealings with us.

Refunds

Information regarding refunds, cooling off periods, and cancellations for Individual plan holders is available in your member handbook and policy documents.

Different terms apply to Group plans. If you are making a payment on the secure online payment system in connection with a Group plan, please refer to the terms of your Group plan for the specific terms that apply to them.

Data protection

We are committed to protecting your personal data and privacy. All information that we collect from you in connection with your dealings with us will be processed or otherwise dealt with by us in accordance with our Privacy Policy and Data Protection Policy (as amended from time to time) which you should read.

Complaints

We hope you will be satisfied with our service. However, if you have any complaints about your plan or another service issue, please click here to view details of our complaints procedures.

If you remain dissatisfied following receipt of our final response to your complaint, you may be entitled to refer it the UK Financial Ombudsman Service if you fall within certain criteria. Further information on the FOS can be found on: www.financial-ombudsman.org.uk.

The Financial Services Compensation Scheme (FSCS)

We are covered by the FSCS. You may be entitled to compensation from the scheme if we cannot meet our obligations. Details of your entitlements can be found in the website terms and conditions.

Law

The law applicable to your plan will be shown within your Plan documentation. These Terms are governed and shall be construed in accordance with English Law.
